Managing Your Contacts in XactRemodel

Keeping track of clients, vendors, or leads has never been easier. Instead of storing contact details in personal phones or writing them down on paper, XactRemodel allows you to keep all your contacts organized and accessible in one place.

Contacts Overview

The Contacts section, located in the Accounts tab of the primary menu, is your central hub for managing individual or department contact information. Contacts can either be associated with specific accounts (clients, vendors) or exist independently for tracking important business relationships.

Contacts can be either:

  • Individuals: Leads, employees of subcontractors, or other key personnel. For individual contacts, you can store:
    • Associated accounts
    • First name
    • Last name
    • Title/role
    • Phone number & type
    • Email
  • Departments: Billing departments, procurement teams, or any group within a vendor or client’s organization. For department contacts, you can store:
    • Associated accounts
    • Department name
    • Phone number & type
    • Email

Creating Contacts

You can create contacts either from the Contacts tab or while adding or editing accounts.

From the contacts tab:
  1. Navigate to the Accounts page in the primary menu.
  2. Select the Contacts tab.
  3. Click on Add Contact.
  4. Enter contact details (associate with an account if needed).
    1. You dont have to associate an account right away. This can be done later.
  5. Click Save Contact.
Contacts can also be created when creating a new account under the primary contact field or through an existing account when associating a new contact.

Associating Contacts with Accounts

Contacts can stand alone or be linked to multiple accounts. Here's how you can associate or remove contacts from accounts:

To Associate or Remove Accounts directly from a Contact:
  1. Navigate to the Accounts page in the primary menu.
  2. Select the Contacts tab and click into the desired contact.
  3. Click the edit pencil to modify contact details.
  4. In the Accounts dropdown, check or uncheck the accounts you want the contact associated with.
  5. Click Save Contact.
To Associate Contacts with an Account:
  1. Navigate to the Accounts page in the primary menu.
  2. Click into the account.
  3. Click Add Contact.
  4. Select an existing contact or create a new one.
To Remove a Contact from an Account:
  1. Navigate to the Accounts page in the primary menu.
  2. Click into the account.
  3. Click the three dots next to the contact’s name.
  4. Select Remove.

Managing Primary Contacts

Every account can have a designated Primary Contact, the go-to person for that account. This can be set when you first create an account or at any time afterward.

Setting the Primary Contact When Creating an Account:
  1. Navigate to the Accounts page in the primary menu.
  2. Click Add Account.
  3. Click on the Primary Contact field.
  4. Select an existing contact or create a new one.
Changing the Primary Contact for an Existing Account:
  1. Navigate to the Accounts page and select the account you want to update.
  2. Ensure the contact you want to mark as primary is listed. If not, click Add Contact.
  3. Next to the contact’s name, click the three dots.
  4. Select Set as Primary Contact.

Editing and Deleting Contacts

You can update, edit, or delete contacts at any time.

Editing a Contact:
  1. Navigate to the Accounts page.
  2. Select the Contacts tab.
  3. Click into the contact you want to edit.
  4. Click the edit pencil and update the details.
  5. Click Save Contact.
Deleting a Contact:
  1. Navigate to the Accounts page.
  2. Select the Contacts tab.
  3. Click into the contact you want to delete.
  4. Click the three dots in the top-right corner.
  5. Select Delete.
Deleting a contact will not remove them from associated projects or accounts.
